Position Overview

We are seeking a highly organized, execution-focused product and delivery coordinator to join SmartLight’s IT organization, reporting to the CTO. This role is designed for someone who excels at making work run smoothly across teams by establishing structure, improving visibility, and ensuring follow-through during periods of change.  In the initial phase, this role will focus heavily on change enablement and delivery coordination. The individual will help implement and reinforce core processes, maintain operational hygiene, facilitate retrospectives, define templates, and track execution metrics across IT, engineering, and QA. The goal is to improve consistency and predictability without adding unnecessary process or bureaucracy.
As the organization reaches a more stable operating rhythm, the role will transition toward a Product Owner–style position, owning defined backlogs and supporting delivery within specific product areas. Even after stabilization, the role will retain bandwidth for cross-functional initiatives and special projects assigned by the CTO. This is not a people-management role and carries no direct reports. Success in this role comes from coordination, influence, and execution discipline rather than formal authority.

Key Responsibilities

Phase 1: Change Enablement and Delivery Coordination
  • Support change initiatives across the IT organization by helping implement and reinforce agreed-upon ways of working
  • Maintain and evolve lightweight delivery processes that improve clarity, consistency, and throughput
  • Create, document, and maintain standard templates for epics, user stories, acceptance criteria, retrospectives, and delivery reporting
  • Own Jira hygiene, ensuring tickets are well-formed, prioritized, updated, and accurately reflect the current status
  • Facilitate retrospectives and working sessions focused on surfacing issues and documenting actionable improvements
  • Track, maintain, and report on delivery and operational KPIs such as cycle time, throughput, backlog health, and defect trends
  • Coordinate across product, engineering, and QA to ensure handoffs are clear and expectations are aligned
  • Identify execution gaps, inconsistencies, or bottlenecks and raise them with the CTO along with practical recommendations
  • Provide operational support to the CTO by handling execution details that enable better decision-making
Phase 2: Product Ownership and Ongoing Support
  • Own and maintain backlogs for one or more product areas, ensuring work is clearly defined and ready for development
  • Translate business needs and technical inputs into user stories with clear acceptance criteria
  • Support prioritization discussions by maintaining visibility into dependencies, capacity, and delivery trade-offs
  • Continue tracking and reporting relevant metrics to support product and delivery decisions
  • Assist with cross-functional initiatives, pilots, or improvement efforts as assigned by the CTO
Required Skills and Qualifications
  • 4+ years of experience in product operations, product coordination, delivery coordination, or a similar role in a B2B SaaS or enterprise software environment
  • Demonstrated ability to implement and maintain processes in environments undergoing change
  • Strong working knowledge of agile and iterative delivery practices, with an emphasis on practical application
  • Hands-on experience with Jira, including backlog management, workflows, dashboards, and reporting
  • Comfort defining, tracking, and maintaining execution metrics and operational KPIs
  • Strong facilitation and documentation skills for retrospectives, working sessions, and process artifacts
  • Clear written and verbal communication skills, especially when coordinating across technical and non-technical roles
  • High attention to detail and strong follow-through
  • Ability to operate effectively without formal authority by building trust, clarity, and consistency
Preferred Qualifications
  • Experience in healthcare technology, data analytics platforms, or regulated industries
  • Background in product operations, program coordination, or business operations
  • Experience supporting engineering teams during periods of growth, reorganization, or tooling changes
  • Familiarity with healthcare claims data or analytics-driven products
  • Interest in growing into deeper product ownership responsibilities over time
